Grocery Outlet operates in a unique position to bring value to its customers. Much of its stock is brought in through vendors outside of the ‘traditional’ retail model – buying products from retail closeouts, surplus inventory and products with packaging changes to keep prices low. As such, keeping track of vendor invoices can be a labour-intensive task.

Before FileNexus®, employees in the Accounts Payable department were required to manually file and match vendor invoices to process payments. Vendors had to send in paperwork, which Grocery Outlet used to verify and reconcile payments. Managing thousands of paper invoices and related documents from various suppliers required significant employee time, storage and organization.

Grocery Outlet now uses FileNexus® for EDI (electronic data interchange) capture of invoices. When vendor invoices are captured by FileNexus® in a PDF format, FileNexus® automatically extracts key information including vendor number, invoice amount and invoice date, then indexes documents for future retrieval. At the same time, FileNexus® automatically updates the Multiview® Financial System, eliminating the need for manual data entry and providing a seamless user experience for vendor invoice management.

The grocer also aims to add barcodes to financial documents so information capture can be streamlined even further. The company has a number of improvement projects planned to continually deliver value both internally and externally.
